Assign licences

Everyone who uses TeamsPIM needs a TeamsPIM licence, and that includes approvers: without a licence an approver does not receive approval cards. You assign licences on the Licenses page of the TeamsPIM Customer Admin Portal.

  • The purchaser of the subscription.
  • Anyone the purchaser adds under Administrators in Subscription Settings.

Anyone else who opens the page sees “You do not have access to manage this subscription.”

Pick a subscription from “Select a subscription” at the top. The page then shows:

  • A summary of the subscription (plan, quantity and term).
  • Counts: Members, Assigned, Unassigned and Plan Licenses. Plan Licenses is the seat quantity you bought in the Marketplace.
  • Two tabs, Users and Groups.
  1. Open the Users tab.
  2. Search with “Search by name or email…”. The All users / Licensed only switch narrows the list to people who already hold a licence.
  3. Turn on the switch next to a person. It reads “Licensed” when a licence is assigned. Turn it off to remove the licence.
  1. Open the Groups tab and find the group with “Search groups…”.
  2. Select members individually, or use Select all members.
  3. Select Assign selected (or Unassign selected to remove licences). Each member shows “Licensed” or “Unassigned”.
  • One licence per user. A person can hold a TeamsPIM licence under one subscription only. If you try to assign a second one, you see “User has license assignment.” Unassign the licence under the other subscription first.
  • Seat limit. You cannot assign more licences than the subscription’s quantity. When every seat is used, you see “Subscription limit exceeded.” Add seats in the Marketplace; see Manage your subscription.

Assigning a licence also installs the TeamsPIM app in that person’s Microsoft Teams, and the TeamsPIM bot sends them a welcome message. They can then open TeamsPIM from Teams.

This install is best effort. It does not happen, and no error is shown, when:

  • a Teams app permission policy (or your app availability settings) blocks TeamsPIM for that person, or
  • TeamsPIM is not available in your organisation’s Teams app catalogue.

To fix it, allow TeamsPIM in the Teams admin center, then turn the person’s licence off and on again to re-save it. Alternatively, the person can install TeamsPIM themselves from the Teams store.

When you remove someone’s licence, TeamsPIM stops loading their privileged access data. If they open the app they see “No TeamsPIM license assigned”. Their roles and assignments in Microsoft Entra ID are not changed.
